Translation Process

Translation Memory (TM)

A Translation Memory (TM) is a database used in computer-assisted translation (CAT) tools to store previously translated text segments and their corresponding translations. These segments—typically phrases, sentences, or paragraphs—help linguists work more efficiently and consistently by reusing content.

Leveraging Existing Translation Memories

Providing us with Translation Memories (TMs) from your previous vendor can significantly enhance both the efficiency and cost-effectiveness of our services. Without access to these resources, our quotes may seem less competitive, as we cannot leverage your existing translations to reduce costs.

Since TMs are your intellectual property, you have the right to request an export from your previous provider. Sharing these files ensures greater linguistic consistency and allows us to offer more competitive pricing.

Translation Memory (TM) Match Types

Match Type

Description

Effort

New Words

The source segment is not found in the translation memory.

Full translation is required.

Fuzzy Match

The source segment is partially similar to an entry in the TM, with differences in wording or structure.

The linguist reviews and adapts the suggestion.

100% Match

The source segment matches a TM entry perfectly, including content and formatting.

Minimal review or confirmation.

Repetition

The segment appears multiple times within the same project, independent of TM matches.

Translated once, then reused automatically.

Understanding Our Standard Quotes

What services are included in our quotes depends on the project scope. Below is a brief explanation of the services typically listed in a standard quote:

  • Project Management

Applied per project based on scope and effort. This covers workflow and timeline management, resource coordination, status tracking, issue resolution, and financial management.

  • Desktop Publishing (DTP)

Involves recreating or adjusting the layout of translated content to match the source in design-heavy formats, such as Adobe InDesign, Photoshop, or Illustrator.

  • Localization QA

Ensures technical quality assurance for coded or tagged file formats (e.g., JSON, PO, HTML, XML) before delivery to your system.

  • Formatting

Aligns the layout of translated content with the source layout for most document formats, excluding plain text files.

  • Linguistic QA

Implements PMI feedback into the Translation Memory to ensure consistency with approved style guides and glossaries. This step validates linguistic integrity and addresses any review-related issues before final delivery.

  • Term Extraction

A specialized service for identifying terminology from content that is term-heavy.

  • Term Adaptation

A complementary service where extracted terms are adapted for target languages and integrated into a glossary.

  • Translation Memory (TM) Leverage

Translation Memory Leverage is a key factor in cost calculation, classified into the following match types:

Why is it important to request Translation Memories and glossaries from previous vendors?

Translation Memories (TMs) and glossaries are critical assets that help reduce costs and improve consistency in translations. TMs are considered intellectual property of PMI and you should therefore be requested from your previous vendors.

By providing us with your existing TMs and glossaries, we can import them into our system, which enables us to:

  • Leverage existing content to reduce translation volume and costs significantly.
  • Ensure consistency with previously translated content, maintaining brand and terminology standards.

Without access to these resources, we may need to recreate terms and retranslate content, which can result in higher initial costs. To maximize cost efficiency and ensure continuity, we strongly recommend that all PMI stakeholders request an export of TMs and glossaries from their previous vendors and share them with our team.
